Find and fix email delivery issues as an Office 365 for business admin

When users report that they aren't receiving email, it can be challenging to determine the cause. You might run through several troubleshooting scenarios in your mind. Is something wrong with Outlook? Is the Office 365 service down? Is there a problem in the mail flow or spam filter settings? Or is the problem caused by something that's outside your control, such as that the sender is on a global block list? Fortunately, Office 365 provides powerful automated tools that can help you identify and fix a variety of problems.

Check whether there's a problem in Outlook or another email app

If only one user reports having trouble receiving email, there might be a problem in their email account or their email app. Have the affected user try the following methods before you move on to admin-specific tasks.

Use Outlook on the web to look for missing messages - 5 minutes

If a user is receiving email in their Outlook on the web mailbox but not on the email app that's installed on their computer, this could indicate that the issue is the user's computer or email app. Ask the user to sign in to Outlook on the web to verify that their Office 365 email account is working correctly.

Instructions:Sign in to Outlook on the web for business

Run Support and Recovery Assistant to fix Outlook problems or account issues - 10 minutes

If a single user in your organization is having trouble receiving email, the cause could be a licensing issue, a profile problem, the wrong version of Outlook, or a mixture of other issues. Fortunately, the Microsoft Support and Recovery Assistant finds and helps you fix most issues that affect Outlook or Office 365. As a first step in troubleshooting email delivery problems for Office 365 for business, we recommend that you download and run Support and Recovery Assistant on the affected computer.

Notice that if you're experiencing issues that affect Outlook for Mac or are having mobile access issues, you can use the app to check your account settings. However, you have to install the app on a PC. After you sign in to the affected account, the app will check for issues. Users can typically download and run Support and Recovery Assistant without help from their Office 365 admin.

Let us fix your issueDownload and run Microsoft Support and Recovery Assistant

If Support and Recovery Assistant doesn't fix the issue, try these admin tools

As an Office 365 for business admin, you have access to several tools that can help you investigate why users are not receiving email. The following video provides a brief overview of the tools that are available to you.

The following list of tools is sorted from the simplest and quickest option to the most in-depth.

Check Office 365 service health for Exchange Online issues - 5 minutes

The service health page lists the status of Office 365 services and indicates any recent service incidents. To check the service health, follow these steps:

    1. Sign in through the appropriate link on Where to sign in to Office 365 for business by using your work or school account.

    2. Select the app launcher icon in the upper-left corner, and select Admin.

      Tip

Admin appears only to Office 365 administrators.

Can't find the app that you're looking for? From the app launcher, select All apps to see an alphabetical list of the Office 365 apps that are available to you. From there, you can search for a specific app.

    3. Under Service health, go to View the service health.

Screenshot shows the View the service health option that's selected in the admin center.

If there's an indication that the ExchangeOnline service is degraded, email delivery might be delayed for your organization, and you can expect that engineers are already working to restore service. Check the service health page for progress updates. In this case, you won't have to open a service request because we'll already be working to resolve the issue.

    Run email delivery troubleshooter

    Note

This feature requires a Microsoft 365 administrator account. This feature isn't available for Microsoft 365 Government, Microsoft 365 operated by 21Vianet, or Microsoft 365 Germany.

You can run an automated diagnostic to identify issues that affect email delivery, and find suggested solutions to fix the issues.

Select Diag: Troubleshoot Email Delivery to launch the diagnostic in the Microsoft 365 admin center. Enter the email address of the sender and recipient in addition to other relevant information, and then select Run Tests.

Screenshot of an automated diagnostic named e-mail delivery troubleshooter.

Use message trace for in-depth email delivery troubleshooting - 15 minutes

Sometimes, an email message gets lost in transit, or it can take a lot longer than expected for delivery. In such cases, users might wonder what occurred. The message trace feature lets you follow messages as they pass through your Exchange Online service. Getting detailed information about a specific message lets you efficiently answer your user's questions, troubleshoot mail flow issues, validate policy changes, and prevent you from haviineeding to contact technical support for assistance.

    Open the message trace tool

If you're an Office 365 Midsize Business, Office 365 Business, or Office 365 Enterprise admin, you access and run the message trace tool through the Exchange admin center. To get there, do the following:

    3. Go to Exchange.

Screenshot of the admin center with Exchange selected.

    4. Under mail flow, go to message trace.

If you're an Office 365 Small Business admin, do the following to find message trace:

    1. Go to Admin > Service settings > Email, calendar, and contacts.

    2. Under Email troubleshooting, select Troubleshoot message delivery.

Run a message trace and view delivery details of messages that were sent in the past week

By default, message trace is set to search for all messages that were sent or received by your organization in the past 48 hours. You can select Search at the bottom of the page to generate this report. This report can give you a general idea about what's occurring to the mail flow in your organization. However, to troubleshoot a specific user's mail delivery issue, you'll want to first scope the message trace results for that user's mailbox within the time frame in which they expected to receive the message.

Screenshot shows the options available in message trace.

    1. On the Date range menu, select a date range that's closest to the time at which the missing message was sent.

    2. Use Add sender and Add recipient to add one or more senders or recipients, respectively.

    3. Select Search to run the message trace.

    4. The message trace results page shows all the messages that match the criteria that you selected. Typical messages are marked Delivered in the STATUS column.

Screenshot shows an example of message trace results.

    5. To see details about a message, select the message, and then select ( Details).

    6. Details appear together with an explanation of what occurred to the message. To fix the issue, follow the instructions in the How to fix it section.

Screenshot of the message trace details page showing an example of what message trace details look like.

To search for a different message, select the Clear button on the message trace page, and then specify new search criteria.

View the results of a message trace that's more than seven days old

Message traces for items more than seven days old are available only as a downloadable .csv file. Because data about older messages is stored in a different database, message traces for older messages can take up to an hour. To download the .csv file, do one of the following.

    Note

Message traces that contain data that's more than seven days old are automatically deleted. They cannot be manually deleted.

    Common questions about message tracing

After a message is sent, how long before a message trace can pick it up?

Message trace data can appear as soon as 10 minutes after a message is sent, or it can take up to one hour.

Why am I getting a time-out error when I run a message trace?

The search is probably taking too long. Try simplifying your search criteria.

Why is my message taking so long to arrive at its destination?

Is Your Gmail Account Not Receiving Emails But Sending? These 10 Solutions Will Help You Out

    Highlights
  • Not receiving Gmail messages can occur due to a wide range of causes; browser issues, outdated apps, insufficient account storage, antivirus incorrect configuration, and email filters are some of them. To fix it, the best solution is to perform some general troubleshooting.
  • The next solution is to fix browser issues or use a different browser.
  • At present, “Google” forums are loaded with complaints stating Gmail account users aren’t receiving emails. Users can send emails, but they are not receiving any emails.

But have you ever thought “Why can’t I receive Gmail emails?” Well, on contemplating you will get to know that there is a lot that can cause this issue.

If your Gmail emails are not loading, loading slow, or not landing in your Inbox, this guide will supply the required help.

We have designed a complete guide that will introduce basic and advanced troubleshooting methods to fix the “Gmail is not receiving emails” issue.

Gmail’s lack of stability is something to worry about, but it can be fixed by replacing Gmail with a third-party email client to access Gmail, such as Yahoo and Outlook.

Now, let’s move to the solutions that can fix “Gmail is not receiving emails”.

Solution 1: Try Some General Troubleshooting

The first solution is a collection of various general troubleshooting methods that will help you fix Gmail email receiving issues.

    1. Send a Test Email to Yourself

The simplest troubleshooting method is to send yourself an email. Send yourself two emails, one from a Gmail account and another from any other email service such as Yahoo or Outlook. If you can receive emails from another email client, but not from Gmail, the problem might lie with the Gmail server.

    2. Check Spam Folder

Check your spam folder as some emails can be filtered and redirected to the Spam folder. The “Spam” folder can be found from the left menu of the Gmail interface. The position of spam remains the same for both websites and applications. If your antivirus is active, there are chances that some incoming emails are being directed to the Spam folder.

    3. Check Trash Folder

Similar to the previous method, this one also suggests you check a folder called Trash. It is possible that we accidentally click on emails and move them to trash. Therefore, one must try to find important emails in the “Trash” folder, if they are nowhere to be found.

    4. SelectAll Mail

Go to the “All Mail” option from the left menu of the Gmail interface. This will open all emails that you have received till time. If you are not able to find an email in the Trash or Spam folder try to explore the “All Mail” option. This will open all the archived emails as well so that you un-archive them in a single swipe.

    5. Update Gmail Application

If you are using the Gmail application and unable to receive a new email, updating the Gmail app will help you fix the situation. You can install the new updates using App Store or Google’s Play Store, and fix the Gmail syncing issue.

Solutions 2: Check if Gmail is down

Gmail is hosted on Google servers and thus when the Google server is down, under maintenance, or having unexpected difficulties, Gmail is not likely to perform even the basic function such as sending and receiving emails. Therefore, if Gmail is down temporarily, you should wait till the situation improves; you can connect with your sender and request them to send the email again.

To check if Gmail service is down in your area or Gmail is not working, go to websites like Downdetector.com and check if there is a service outage, or it’s just you who is having difficulty in receiving emails using Gmail

Solution 3: Try Different Browser to Use Gmail

If you are not able to receive emails from your Gmail account, it can be due to browser incompatibility. Thus, it is suggested to switch to a different browser that is more compatible with Gmail. You can try using any other browser from the list given below:

    1. Google Chrome
    2. Firefox
    3. Safari
    4. Microsoft Edge

Important Note: The browser that has an in-built ad-blocker, VPN, malware protection, or other add-ons, should be avoided while using Gmail because it may hinder the services offered by Google including Gmail.

    Solution 4: Check Gmail Storage

If you are not receiving incoming emails on Gmail, it can be due to insufficient storage in your Gmail account or Google Drive. Though Gmail offers 15 GB of digital storage for free, sometimes it is not enough for users with professional needs. When you consume all your Gmail storage, the email service won’t save any incoming email due to a shortage of space. So, keep a tab on Gmail storage quota using these steps:

    • Select “Google Drive” from the top-right menu on your Gmail homepage.
    • Now, click on the gear icon on the top-right corner to open “Settings”.
    • On the prompt screen the storage you have used from a total of 15 GB.

If you have used all the available space, you need to clean some items from your Gmail inbox. It can be done simply by deleting emails from your Gmail account. Here is how it can be done:

    • Select unwanted emails or emails that you can delete.
    • Now, click on the “Delete” icon from the top.
    • After this, you need to delete all emails from Gmail’s “Trash” folder. To do so, open the “Trash” folder
    • Now, select “Empty Trash Now” to clear all your emails.

    Solution 5: Remove Email Filters

Having email filters enabled on your Gmail account can affect the flow of incoming emails and thus you must delete the filters that might be filtering the important emails. Here are the steps that can help you remove Gail filters:

    • Click “Settings” from the top-right menu.
    • Select the “Filters and blocked addresses” tab from the upper menu.
    • Choose “All” the filters from the options “All” and “None”.
    • Click on the “Delete” button to remove filters and receive all emails in your inbox.

Filters rerouting emails can be the cause why incoming emails are not landing in the Inbox. To find the already filtered emails you can check the folders which you set previously to save filtered emails.

    Solution 6: Disable Email Forwarding

If you have enabled email forwarding for Gmail messages, your incoming emails will be redirected to the email address that you have set up to save forwarded emails. To disable email forwarding, follow these steps:

    • Now, click on the “Forwarding and POP/IMAP” tab from the top menu.
    • Now, select “Disable Forwarding” from the options.
    • Scroll down and select “Save Changes”.

Solution 7: Disable Firewall or Antivirus

Security programs such as Firewalls and antivirus can also block Gmail emails, and induce email receiving issues. Thus, it is suggested to disable all the antivirus and security programs from the system startup. To do so, open Task Manager, open the Startup tab and select antivirus software and select Disable.

After disabling the antivirus, make sure you check for the improvements and if you are now able to receive emails, the security program was blocking incoming emails while it was enabled.

Furthermore, antivirus utilities can be uninstalled to ensure that the firewall is not affecting emails.

Solution 8: Check for Gmail Configuration Settings

While using Gmail on third-party clients, the Gmail server settings play the most crucial role. The faulty incoming and outgoing email server settings can restrict Gmail emails from landing in the inbox. Therefore, make sure when you use Gmail on any email client such as Outlook, Thunderbird, iPhone, and Android, the settings of your Gmail account should be configured properly.

The correct Gmail server settings are:

    • Server Name: smtp.gmail.com
    • Port: 465 (SSL) / 587 (TLS)
    • Sender Email Address: Your email address
    • Test Email Address: email address to receive test emails.
    • Email Type: SMTP / SMTPS
    • Enable TLS: Yes / No. If you choose No, then SSL will be set as default.
    • You need to enable authentication for configuring a Gmail account
    • Username: Specify your email address
    • Password: Specify your  password

Solution 9: Check Google Admin Console

This is one of the most advanced troubleshooting methods and is meant for people with a GSuite subscription. If your Gmail account’s domain is different than “@gmail.com”, this method is meant for you.

Open the administrator’s account from admin.google.com and search for your email address. This is the simplest way to track all emails that were sent to you or uploaded on Google’s server but didn’t reach your Gmail account. If there is no email to be found on Google’s server that you have missed, the issue is from the sender’s end.

    Solution 10: Contact Google Support

When nothing works, you should try reaching out to Google’s customer support system. Your all problems will be dealt with and fixed through online threads that are already available on the support platform.

Hopefully, these 10 solutions will help you get rid of Gmail receiving issues so that you don’t miss anything important.

If you can't receive email on your iPhone, iPad, or iPod touch

If you can’t receive email in the Mail app on your iPhone, iPad, or iPod touch, there are a few things you can try.

    Before you begin

There are a few things to keep in mind and check:

    • When you make an iOS or iPadOS backup in iCloud or iTunes, it backs up your mail settings, but not your email. If you delete or change your email account settings, previously downloaded emails might be removed from your device.
    • Make sure that your device is connected to the Internet.
    • Check with your email service provider to find out if there's a service outage.
    • If you can't access your email, or you can't send and receive messages with your @icloud.com email address, learn what to do.

Check your email address and password

If the Mail apps asks you to enter a password for your email account, make sure that your password is correct. To check your email address and password, sign in to your email provider's website.

If you still get a username or password error, contact the email provider or system administrator.

Check Mail Fetch and Notification settings

By default, Fetch New Data settings are based on what's provided by your email service. If Push isn't available as a setting, your account will default to Fetch. These settings affect how your device receives email. To adjust these settings:

    1. Go to Settings > Mail, then tap Accounts.
    2. Tap Fetch New Data.
    3. Choose a setting — like Automatically or Manually — or choose a schedule for how often the Mail app fetches data.

With iOS 11 and later, and iPadOS, Automatically is set by default. Your device will fetch new data in the background only when your device is charging and connected to Wi-Fi.

Make sure that your Notification settings are correct for the Mail app:

    1. Go to Settings, then tap Notifications.
    2. Tap Mail, then tap an email account.
    3. Adjust your Alerts, Sounds, and Badges.

Contact your email provider or system administrator

    1. Contact your email provider or check their status webpage to see if there's a service outage.
    2. Ask your email provider or system administrator if you turned on any security features or restrictions, like two-step verification, for your email account. You might need a special password or may need to request authorization from your email provider to send and receive email on your device.
    3. Check your email account settings with your email provider or system administrator to make sure that they're correct.

Remove your email account and set it up again

    1. On your computer, sign in to your email provider’s website. Make sure that all of your email is there or make sure that your email is saved somewhere other than your device.
    2. On your device, go to Settings > Mail, then tap Accounts.
    3. Tap the email account that you want to remove.
    4. Tap Delete Account.
    5. Add your account again.

If these steps don't work, contact your email service provider for more information.

Troubleshoot Email Delivery Issues with Google Groups and Help Scout

If you're using a Google Workspace Group (formerly known as G Suite) to forward emails to your Help Scout mailbox, troubleshooting email delivery issues is a bit different than it is with other email configurations.

Sometimes the Google spam filter will catch an email that you wanted to come through, and you'll find it waiting in a moderation queue at Google. Sometimes it can be other issues that you can discover at the Google Email Log Search. This article will show you how to check the moderation queue for your Google Group, then check the email log to investigate further if you need to.

Note: Only Google Workspace administrators can access the Group moderation queue and reports at Google. Forward this article over to your Google administrator and ask them to get this information for you if you are not the administrator on your Google Workspace account.

Check the Group Moderation Queue at Google Workspace

Google Groups' default spam filter settings are to send suspected spam to moderation. This means that if you have not changed the default settings, when the Google spam filter thinks a email may be spam, that email goes into a moderation queue for the Group. You will need to approve the email for it to be delivered to the Group, which will then forward it to Help Scout.

Take a look at Google's help article Approve or block new messages and scroll to the section there titled Approve or reject pending messages for instructions to view the moderation queue and approve a message.

If you find that emails are going to moderation that should not be there often, you may choose to change your Group settings. See Google's help article Legitimate mail to a group is marked as spam for the steps to change those settings.

Search the Email Log at Google Workspace

If you did not find the missing email in the moderation queue, the next step is to search the email log for your Google Group.

Your Google Workspace administrator can access the Google email log search directly here: Google Admin Email Log Search.

    1

Select the date range you'd like to search, the enter the customer's email addresses in the Sender field and your Group's email address in the Recipient field. Click the Search button to start the search process.

    2

If there are any matching results, they'll appear in a table on the search results page. If you do not see the email in the logs at Google, the email did not reach your Google Group so did not reach Help Scout. You may want to reach out to Google support to see if they can provide you more information in that case.

If you do see the message you are looking for, click on the subject for more details.

    3

The Message details section will show the basic details. Click the arrow next to your group email address in the Recipient details section to expand for full details.

If you do not see Sent to group members in the details, you'll want to reach out to Google support for more help. They will be able to explain the log and the reason it failed.

If it does show as Sent to group members in those full details, but you don't see the corresponding message in your Help Scout mailbox, copy the Message ID field and paste that into a message to our support team. We'll take it from there!

My Gmail Zap has an error about connecting to Google-approved or not-approved apps

Starting May 26, 2019, users with a consumer Gmail account - which end in @gmail.com or @googlemail.com - will have limitations on which apps they can send Gmail information to, in compliance with Google's new security protocols. These accounts look like this in your Gmail dashboard:

Business Gmail accounts—which have a custom domain on their email address like @mywebsite.com —can still use the Gmail integration with any app on Zapier without limitations. These accounts look like this in your Gmail dashboard (note the yellow banner):

If you have a consumer Gmail account connected in your Zaps that is sending information to other apps, starting on May are the florida keys open, 2019 you should be able to send information to only these currently Google-approved apps. This list is a work in progress and we're working with Google to grow it:

If you're creating a Zap with your consumer Gmail account and try to turn it on, we'll automatically let you know if you are trying to send data to an approved app, and ask for re-authorization for each new approved app. You'll have until June 26, 2019 to authorize your consumer Gmail account with each approved app from the list above. If a Zap connecting your consumer Gmail to an approved app is not re-authorized by June 26, 2019, you'll receive errors about not being able to connect before those Zaps are automatically turned off. This will preserve your Zap setup, but your Zap will not be running until you've reauthorized pnc personal banking sign in com a Google-approved app.

We will also let you know if you are trying to send consumer Gmail account data to a non-approved app, which will not be allowed after May 26, 2019. Any Zaps that send consumer Gmail account data to a non-approved app will also receive errors about not being able to connect before those Zaps are automatically turned off. You can also inspect bridgewater savings bank east bridgewater hours affected Zaps and Accounts by clicking the below button:

    View Affected Zaps and Accounts

If you're using an app that you'd like to be approved to connect with consumer Gmail accounts on Zapier, let our support team know through the contact form. Although we cannot guarantee at this time that an app will get approved by Google, we're happy to hear your request.

To keep your current Gmail and app integrations intact, another course of action is to begin using a business Gmail account with Zapier. You can do this by either forwarding emails to such an account or opening a G Suite account for your business. Doing so gives you access to all apps on Zapier.

I have multiple files on my email but the Zap is giving me a Zip file combining all the files.

If you're using one of the new email-type Gmail triggers and find that all of the attachments on those e-mails are being zipped use the Gmail "New Attachment" trigger instead. This trigger runs once for every attachment on an email.

How do I use the Filter step correctly with the New Attachment trigger?

"New Attachment" triggers once per attachment, and gives information specific to the attachment we found when we polled. If there are multiple attachments on an email, though, each trigger also returns fields that deal with all attachments:

If you are trying to filter on the attributes of a single attachment coming from this trigger, you will want to be sure you are choosing the attachment-specific fields when configuring the Filter. The specific entry is the following:

    Example:

How can I attach a file to my email that's not in my trigger?

As the attachment field is a File field, this means we can take files in the form of attachments or public URLs.

If gmail business account not receiving emails have a fixed file you want to always attach to your email using the send email action, you just need to upload the file somewhere publicly first like Dropbox or similar. One thing to note here is that the file needs to be downloadable. To check the URL you want to use, copy and paste the URL into the browser and the file should download as an attachment. Try this link to see an example of how this should work: http://dl.dropboxusercontent.com/s/5gw98mg8pmjxpv5/Zapier%20test%20PDF%20file.pdf?dl=0

Once you get the downloadable link, you can then copy-paste that to your Gmail action step and the file should be attached properly.

Tip if you're wanting to use a file from Google Drive, follow this tutorial to get the download file url.

Not all my emails are triggering my Zap

Each Gmail trigger has a specific length of time in the past that it can "see" emails in your Gmail account. If the email in question is older than the time limit, the trigger won't be able to detect that email.

    These limits are as follows:

Please note that if you would like to trigger a Zap for starred emails that entered your inbox more than two days ago, you can use the New Labeled Email trigger and specify the STARRED label from the dropdown when setting up your Zap.

My Zap Triggers Every Time Someone Replies to an Email

The "new email" trigger will trigger for each new email regardless of threading. If you only want to trigger once for the entire thread, switch to the "new thread" trigger.

Some of my emails aren't showing up on the "New Labeled Email" Trigger

Previously, the New Labeled Email trigger would only fetch emails that entered your metro pcs pay bill no fee within the last two days and were then labeled, so if the emails are older than that we would not have been able to see them.

We recently updated this trigger to now fetch any newly labeled emails regardless of their age. If your Zap is only gmail business account not receiving emails on labeled emails two days or newer, you may be using the legacy version of the New Labeled Email trigger. To check if you are using the older trigger, look in your Zap and see if "legacy" is in gmail business account not receiving emails name.

are td banks open on labor day Labeled Email trigger “(Legacy)” tag" src="https://cdn.zappy.app/aff769259169a72213eb77e44ca96172.png">

If you see legacy in the name, you'll need to re-select the New Labeled Email trigger.

Unable to trigger off star color when using "New Email Matching Search" Trigger

If using more than one star color, you can rely on the "New Email Matching Search" Trigger rather than the "New Starred Email" Trigger in order to trigger on specific star colors. When doing so, use the following for your search string (specifically what comes after the colon)

    Source

How can I style the emails I send?

You can use HTML to style your emails. Be sure to set the "Body Type" field to HTML. You can find some tips for styling emails here

Can I get HTML Messages in a Gmail Trigger?

Yes! Gmail triggers have a field for HTML message body as well as a field for plain text message body.

Can I send HTML Messages from Gmail in a Zap?

Yes, be sure to set the "Body Type" field to HTML. However, if you are going to be doing marketing/sales via email, we generally recommend you use a dedicated email service rather than a Gmail Zap.

Bear in mind that not all HTML tags are supported for sending HTML emails through a Zap.

My Gmail Account Can't Send Emails Anymore

To prevent abuse, Gmail has different sending limits for trial and non-trial accounts. Gmail will also prevent you from sending email if enough spam complaints are triggered based on the email you send.

If you are sending automated, transactional emails of any volume, we highly suggest you switch to a dedicated transactional email provider like Mandrill, Mailgun, or Sendgrid.

Logged into the wrong Gmail account

Does your Zap appear to be logged into the wrong Gmail account? When you connect your Gmail account, your browser may already be logged into the wrong Gmail account. Make sure when you connect you choose the correct Gmail account to authorise from the popup like this:
    choose account

If you are connected to the wrong account, you can try reconnecting to the right account in a new browser on your Conencted Accounts area here.

    Too many simultaneous connections

Gmail currently has a limit of 15 simultaneous connections per account. This effectively means only 15 Gmail trigger Zaps can be used at once assuming no green dot moneypak phone number to check balance service is accessing Gmail on your behalf. This is a restriction from Gmail's API documented here. There are no known work arounds except some good old fashioned creativity! If you come up with something awesome, let us know.

Gmail failed command: SELECT => socket error: EOF

This error can occur if you use a 3rd party email client to download/view your Gmail emails, as Gmail has bandwidth limits per hour and day that could be exceeded. More info on that front here: https://support.google.com/a/answer/1071518?hl=en&ref_topic=6013516

This happens when you've selected an invalid Mailbox on your Trigger options. You can't use advanced values when selecting a Mailbox. Make sure to choose an existing Mailbox from the dropdown. If you want to create a new Mailbox to use with Zapier, do that inside Gmail and then come back to Zapier to setup your Zap.

    Mailbox selection error

I'm getting a DjangoUnicodeDecodeError or LookupError unknown encoding - AKA Unsupported or Non-Standard Characters

If you ever get this error or one mentioning unsupported or non-standard characters, this is due to Gmail and more specifically IMAP having poor support for non C0 unicode characters. This can also crop up with large attachments. Potential solutions include:

    1. Switch to using the Inbound Email triggers. This requires you to setup auto-forwarding for your Gmail account to your Zapier given inbound email address.
    2. Switch your Zap to use the IMAP trigger.

If neither of those work there is still one other option: help us improve Gmail triggers/actions. To do that gmail business account not receiving emails these directions:

    1. Find the offending email address.
    2. Click the small dropdown in the email and select show original (see below).
    3. Copy and paste the entire email into a text file.
    4. Send us a support email and include the text file created in step 3.

Can I send CSS styling when sending Gmail via Zapier?

Gmail supports CSS using blocks as well as inline styling. You can see more information on the kinds of styling Gmail supports here.

I'm trying to use the Send Email action to use an alias email, but I'm not seeing it in the dropdown

Whilst Google Suite admin may have set up aliases this may not have been formally added to Gmail itself. To do that, you need to follow the steps under heading 1 here: https://support.google.com/mail/answer/22370?hl=en. In order to be able to use their aliases, they should show up in the Accounts tab here:

    img

If they're not showing up, you may need to add them via that menu; you should then show up in the From dropdown in the Send Email action

I'm receiving my own emails with an additional email that says "An error occurred, Your message was not sent"

If you're running into this, most likely it's because the content of the "Reply To" field is not an email address. This isn't something that's validated when we send that request to Gmail, so you won't see an error prior to sending. Instead, you'll see the error present itself in Gmail like the above screenshot.

To fix this, use a valid email address in the "Reply To" field, and use the "From Name" to represent the name.

The simplest troubleshooting method is to send yourself an email. Send yourself two emails, one from a Gmail account and another from any other email service such as Yahoo or Outlook. If you can receive emails from another email client, but not from Gmail, the problem might lie with the Gmail server.
